Annual General Meeting and Social Evening -

Notice of Annual General Meeting

In accordance with Clause 32 of the Constitution, notice is hereby given that the Annual General Meeting of Halifax and Huddersfield IVC will be held on Friday 9 October at  Crow Nest Park Golf Club, Coach Road, Hove Edge, Brighouse HD6 2LN.

We shall follow the usual format of a cold  buffet with desert at 7 pm, with  tea/coffee. The business will then commence around 8

Booking Arrangements

Cost and Booking: Once again, we are pleased to announce that the total cost of £11.95 for the buffet will be subsidised by 50%, which means you pay only £6! There is no charge if you come for the AGM only, at 8 pm.

Quick Guide to Committee Posts

If you're bemused by names such as 'ALO' and 'Member without Portfolio', read on for a quick guide:

Chair: Provides leadership and ensures the general smooth running of the club.

Secretary: Takes minutes at meetings and deals with any correspondence.

Treasurer: Looks after our money and makes sure the books balance! Prepares annual accounts and forecast for the AGM, so we can see where our money goes and how much we need.

Membership Secretary: Responds to membership enquiries, keeps in touch with enquirers/new members, and maintains membership records. Circulates the monthly newsletter to current postal and e-members. (This post is currently shared.)

Publicity Officer: Seeks out any opportunities for promoting our club, such as local newspapers, posters, leaflet distribution and displays.

AIVC Liaison Officer ('ALO'): Liaises with the national organisation (AIVC) and other clubs. Often attends national conference.

IT officer: Maintains the club's website and the Activity Exchange website, which includes the online database for membership.

Newsletter Editor: This is a much simpler job than previously, as the newsletter is now produced automatically from the Activity Exchange website using a macro, adding other items such as Chair Chat, event reports, etc. Guidance and support will be given to anyone who is reasonably confident using a computer, with the expectation that the editor will subsequently be able to use their own initiative in producing an attractive monthly newsletter.


Officer Without Portfolio: No specific duties but contributes to discussions and assists committee as needed.

In addition, committee members are expected to attend committee meetings every two months, and assist where possible with hosting on regular Wednesday nights.
